TUHS upgraded its PeopleSoft HCM and Finance applications in 2021. Rather than stopping there, the health system partnered with Mythics to adopt strategic enhancements incrementally, putting the latest product capabilities to work for its HR and finance teams. The effort earned TUHS a 2022 PeopleSoft Innovator award.

Two areas of HR operations were stuck in manual mode. Employee licenses and certifications lived in PeopleSoft’s Profile Management functionality, but the data was entered and maintained almost entirely by HR administrators working through classic pages, a cumbersome and inefficient process for a health system tracking credentials across a large clinical workforce.

Benefits administration had a similar problem. TUHS used the Benefits Administration module with minimal self-service, and the manual processes and workarounds surrounding it led to inefficiencies and delays in administering benefits on time.

For licenses and certifications, Mythics deployed Fluid self-service for employees and managers, moving data maintenance out of the back office. A new Person Profile configuration captures TUHS-specific fields and supports document attachments, so credentials and their supporting paperwork live in one place. The approval workflow got smarter, too, with conditional routing that automatically sends certification-bonus-eligible items to managers. Custom data validations built on the Related Event Framework catch errors at the point of entry, and Fluid approvals with push notifications and tailored email alerts keep managers and administrators moving.

For benefits, the work started with a thorough review of the existing configuration, then a modernization of the Benefits Administration framework and rules to simplify how everything is set up. Mythics deployed Fluid self-service pages for benefits summaries and dependent and beneficiary maintenance, tailored the delivered life event activity guides, and built two custom life events around TUHS business requirements. Open enrollment became a Fluid-guided process with benefit confirmation statements, including custom functionality for union plan selection built directly into the enrollment process.

Services provided:

  • Workflow and Approval Configuration
  • Custom Life Event Development
  • Self-service replaced admin data entry. Employees and managers now maintain license and certification data directly, with built-in attachments and validations.
  • Approvals that route themselves. Items eligible for a certification bonus go straight to managers, backed by Fluid approvals and push notifications.
  • A modern benefits experience. Employees manage benefits summaries and dependent and beneficiary information through Fluid self-service instead of manual workarounds.
  • Guided open enrollment. Enrollment now walks employees through each step, produces confirmation statements, and handles union plan selection as part of the process.
  • Recognized innovation. The incremental enhancement approach earned TUHS a 2022 PeopleSoft Innovator award.
